Privacy Policy

1. Introduction

This Privacy Policy describes how ModelCoach.ai (“ModelCoach.ai,” “we,” “our,” or “us”) collects, uses, stores, discloses, and protects information when you use the Services. ModelCoach.ai is owned and operated by Buddy Dealz LLC.

2. Scope

This Privacy Policy applies to visitors, registered users, trial users, Free users, Pro subscribers, enterprise and Teams customers, and others who access the Services through the website, browser extension, supported AI platforms, future mobile applications, APIs, MCP or other integrations, or related interfaces.

3. Information We Collect

We may collect information you provide directly and information generated through your use of the Services, including:

Account information, such as your name, email address, authentication information, account settings, plan information, subscription status, and account identifiers.

Usage and learning information, such as feature usage, learning progress, coaching metadata, scores, achievements, certifications, credit usage, and related activity.

Device and technical information, such as device and browser information, IP address, operating system, extension metadata, log information, and security-related information.

Communications, such as customer support requests, feedback, cancellation feedback made available to us by a payment processor, and other communications you send to us.

Transaction, subscription, and billing information, such as the type of purchase, credit pack purchased, subscription plan and status, amount charged, transaction status, Stripe Checkout identifiers, Stripe customer and subscription identifiers, billing-period information, cancellation status, payment-failure status, and other records reasonably necessary to process, document, administer, and secure transactions and subscriptions.

Payment card and other payment credentials used to complete purchases are processed by our payment processor. ModelCoach.ai does not need to directly receive or store complete payment card numbers or card security codes when payments are processed through Stripe Checkout.

4. Prompt Processing

Prompt content is processed to provide AI coaching, prompt scoring, educational recommendations, certifications, and related functionality.

By default, ModelCoach.ai does not permanently store prompt text. Users may optionally enable prompt history. When disabled, prompt text is processed only as needed for the requested coaching session and is not permanently retained.

We may store limited coaching metadata necessary to support learning progress, scoring, security, analytics, and product functionality.

ModelCoach.ai does not claim ownership of user prompts and, unless explicitly stated otherwise, does not use prompt content to train proprietary AI models.

Practice simulations process the text you write during a Practice session in the same way, so we can score the session, coach you, and produce your debrief.

Voice Practice is optional. ModelCoach.ai requests microphone access only when you choose the voice mode and start recording. Your recording is transmitted for speech-to-text processing so it can become the text of your Practice turn. ModelCoach.ai does not retain the raw audio: it is forwarded once for processing and then dropped. The resulting transcript is treated like any other Practice turn and may be stored with that Practice session. ModelCoach.ai may also send counterpart text for text-to-speech processing so the simulated counterpart can reply with audio.

5. Browser Extension

The ModelCoach.ai browser extension accesses supported AI applications only as reasonably necessary to provide functionality initiated by the user. It is not designed to continuously monitor your general browsing activity.

For coaching, the extension reads only the text in the active prompt composer on supported AI tools (ChatGPT, Claude, Gemini and Microsoft Copilot). It does not passively read the surrounding conversation, other page content, or other websites, and it does not continuously scrape or transmit conversations in the background.

The one exception is user-initiated: when you click the “Practice this” action on a completed AI response, the extension reads the text of that specific response and transmits it to ModelCoach.ai solely to generate the Practice simulation you requested. The captured text is limited in length and stripped to plain text before it is sent. Nothing is read or sent from the conversation unless you click that action.

After you connect the extension to your ModelCoach.ai account, it can detect when you enter a genuinely new prompt in a supported AI tool and automatically run coaching on that prompt, opening the ModelCoach.ai panel to show the result. The prompt content needed for that analysis is transmitted to ModelCoach.ai and to the AI processing providers described in this Privacy Policy. Coaching runs once per new prompt: an already-coached prompt reuses the existing result, and text ModelCoach.ai itself inserts into the composer is excluded from automatic coaching. Automatic coaching does not occur before you complete the extension connection.

Storage of prompt text from the extension follows the Prompt Processing section: prompt text is not permanently stored unless you enable prompt history, while limited coaching metadata such as scores and progress may be retained.

The extension also sends limited product-usage telemetry (for example, that a template list was viewed, a template was used, or a prompt was saved) so we can understand and improve feature usage. This telemetry does not include prompt text.

Extension permissions are limited to those reasonably necessary to provide requested functionality, maintain authentication, communicate with ModelCoach.ai, and support compatible AI platforms.

6. Third-Party AI Services

Prompt content may be securely transmitted to third-party AI providers as necessary to provide requested coaching and related Services.

Voice Practice audio and counterpart text may be transmitted to third-party speech-to-text and text-to-speech providers solely to provide the voice mode you requested.

Search-to-Practice is user-initiated. When you submit a search in Official AI Sources or AI Web, ModelCoach.ai may send that query server-side to a third-party web retrieval provider to locate a small number of relevant public sources. The retrieved public information is used only to ground the Practice simulation you asked for. This retrieval happens on our servers and is not monitoring of your browsing activity.

Those providers may process information according to their applicable agreements and privacy practices. We encourage users to review the privacy practices of third-party services they use.

Except where users enable optional prompt history or where retention is otherwise described in this Privacy Policy, ModelCoach.ai does not permanently retain prompt text after processing.

7. Payments, Subscriptions, and Stripe

ModelCoach.ai uses Stripe, and may use other payment processors, to process purchases, subscriptions, billing, and related paid Services.

When you make a purchase or start a subscription, payment and transaction information may be provided directly to the applicable payment processor. The payment processor may collect and process information such as your name, email address, billing information, payment method information, transaction information, device information, and other information necessary to process, authenticate, prevent fraud, administer, renew, cancel, or otherwise manage the transaction or subscription.

ModelCoach.ai may receive and retain limited transaction and subscription information from the payment processor, such as transaction identifiers, Checkout Session identifiers, Stripe customer and subscription identifiers, payment status, purchase amount, credit pack purchased, subscription status, billing-period dates, cancellation status, and information necessary to associate a successful purchase or subscription with your ModelCoach.ai account.

For Pro subscriptions purchased before a user is signed in, ModelCoach.ai may use verified information received from Stripe, including the purchaser’s email address and successful Checkout information, to create or associate a ModelCoach.ai account and securely connect the paid subscription to that account. If an account already exists for the verified email address, we may associate the subscription with that existing account rather than create a duplicate. Secure sign-in, activation, or verification may still be required before account access is provided.

ModelCoach.ai may use Stripe’s Customer Portal to allow subscribers to manage billing information and cancel subscriptions. Where cancellation is scheduled for the end of a billing period, we may retain the subscription status, scheduled cancellation date, and cancellation feedback made available by Stripe for billing administration, customer support, churn analytics, and service improvement.

ModelCoach.ai does not directly store complete payment card numbers or card security codes when transactions are processed through Stripe Checkout. Payment processors process information according to their own privacy policies and applicable agreements.

8. How We Use Information

We may use information to authenticate users; create or associate accounts following verified purchases; provide, operate, maintain, secure, and improve the Services; deliver AI coaching and learning functionality; personalize learning experiences; maintain scores, progress, achievements, and certifications; maintain credit balances and usage records; process, verify, administer, and document purchases and subscriptions; associate successful purchases and subscriptions with user accounts; provide billing and subscription management; send transactional, service, and product-progress communications and, where permitted, promotional communications; personalize product-progress summaries using your in-product activity and scores; honor your email preferences and opt-out choices; provide customer support; detect fraud, abuse, and security threats; enforce our Terms; comply with legal obligations; and improve future Services.

We may also use subscription lifecycle information to understand activation, scheduled cancellations, cancellation reversals, payment failures, completed churn, and related aggregate business metrics. Authorized administrators may receive service notifications about subscription lifecycle events for operational, support, and analytics purposes.

We do not sell personal information.

Where required by applicable law, we process personal information based on consent, performance of a contract, compliance with legal obligations, legitimate interests, or other lawful bases.

9. Sharing Information

We may share information with service providers and other parties as reasonably necessary to operate the Services, including cloud hosting providers, authentication providers, payment processors such as Stripe, transactional and marketing email and communications providers, analytics providers, AI processing providers, support providers, security providers, professional advisors, and auditors.

We may disclose information where required by applicable law, regulation, legal process, or governmental request, or when reasonably necessary to protect the rights, security, and integrity of ModelCoach.ai, our users, or others.

Information may also be transferred as part of a merger, acquisition, financing, restructuring, sale of assets, or similar corporate transaction.

We do not sell personal information.

10. Cookies and Similar Technologies

We may use essential, functional, analytics, and security cookies and similar technologies to operate, secure, improve, personalize, and measure the Services.

You may control certain cookies through your browser settings or other controls made available through the Services where applicable.

11. Data Retention

We retain personal information only for as long as reasonably necessary for the purposes described in this Privacy Policy, including providing the Services, maintaining account, transaction, subscription, churn and business records, complying with legal and accounting obligations, resolving disputes, enforcing agreements, preventing fraud, maintaining security, and supporting legitimate business operations.

Retention periods may vary depending on the type of information, the nature of our relationship with you, and applicable legal requirements. Subscription lifecycle and transaction records may be retained after cancellation or account deletion where reasonably necessary for legal, accounting, fraud-prevention, dispute-resolution, or legitimate business-record purposes.

12. Data Portability and Account Deletion

Where available, users may export eligible account information and request deletion of their account.

Certain information may be retained after an account deletion request where reasonably necessary or required by law, including transaction and subscription records, security records, fraud-prevention information, records necessary to resolve disputes or enforce agreements, and other information subject to legal retention requirements. Canceling a paid subscription does not by itself constitute a request to delete a ModelCoach.ai account.

13. Security

We implement commercially reasonable administrative, technical, and organizational safeguards designed to protect personal information, including access controls, encrypted communications where appropriate, secure cloud infrastructure, monitoring, server-side authorization, webhook verification, and security practices.

No method of transmission, processing, or electronic storage is completely secure, and we cannot guarantee absolute security.

14. Your Rights

Depending on where you reside and applicable law, you may have rights regarding your personal information, including rights to request access, correction, deletion, portability, restriction of processing, or objection to certain processing.

You may also have rights under laws such as the GDPR, CCPA/CPRA, and similar privacy laws where those laws apply.

We may need to verify your identity before fulfilling certain privacy requests.

15. Children’s Privacy

The Services are not directed to children under 13 years of age, or the applicable minimum age required by law in your jurisdiction.

We do not knowingly collect personal information from children in violation of applicable law.

16. International Transfers

Information may be processed and stored in the United States and other jurisdictions where ModelCoach.ai or its service providers operate.

Where required by applicable law, we use appropriate safeguards for international transfers of personal information.

17. Changes to This Privacy Policy

We may update this Privacy Policy periodically to reflect changes to the Services, our practices, technologies, service providers, or applicable legal requirements.

When we make material changes, we may provide notice through the Services or by other reasonable means where required. The “Last updated” date indicates when this Privacy Policy was most recently revised.
